Customer Service Assistant Apprentice

Job Description:
We have a fantastic opportunity to join the team at South Essex Gymnastics Club. You will be involved in all aspects of the effective running of the office as the club’s main point of contact.
What will you be doing?
- To provide administration and reception support for the effective running of the office as the club’s main point of contact as well as the centre of daily administration.
- To provide advice and guidance to the public at reception and by telephone regarding classes, referring to an appropriate person if necessary.
- To enrol, take payment and issue welcome packs / documentation to all new starters of classes and arrange bookings for fun sessions and parties as appropriate.
- To issue fee statements, invoices and reminders as required.
- To ensure agreement of daily takings with computerised records.
- To ensure member personal data is accurate and kept up to date, whilst adhering to Data Protection and confidentiality rules.
- To ensure that new members requiring British Gymnastics / Regional membership are brought to the attention of the Office Manager immediately.
- To file, store, allow access, destroy and archive manual and computerised member records as appropriate.
- To ensure all club notice boards are reviewed and updated regularly and the trophy cabinet is kept in order.
- To prepare and issue Parent and/or Gymnast agreement forms as necessary
- To continuously monitor and fill spaces in gym school and pre-school from the waiting list or new enquiries.
- To print, replace, retain and store class registers on a monthly basis for audit purposes.
- To update class and group changes including booking sheets and subscriptions.
- To keep the office clean and tidy at all times to ensure a safe, professional working environment.
- To take part in the staff performance and development process, taking personal responsibility for identification of learning, development and training opportunities in discussion with the Office Manager.
- To attend appropriate courses to ensure continuing professional development.
- To liaise with relevant organisations external to South Essex Gymnastics Club as necessary.
- To ensure that all duties and services provided are in accordance with South Essex Gymnastics Club’s Equal Opportunities policy
- To commit to safeguarding and promoting the welfare of children, young people and staff at all times.
- To comply with individual responsibilities in accordance with the role, for all statutory regulations applicable such as health and safety in the workplace, Child Protection Act, Fire Regulations, etc.
- To propose initiatives and bring any areas of concern to the attention of the Office Manager.
- Assist at events as directed by the Head Coach Events and Community
- To undertake any other duties as reasonably correspond to the general character of the post and are commensurate with its level of responsibility.
What training and qualification will you receive?
- TheLightBulb will deliver the Level 2 Customer Service Apprenticeship Standard
- There will be workshops that you need to attend
- You will have a Mentor who will work with you on a one to one basis
- In-house training will be given to support specifics of the role

Qualifications
- GCSE or equivalent English (Grade 4/C) desirable
